SmartRetrieverBuilt by Sendient · Live

Answers from everything your people are allowed to see, with the source shown.

SmartRetriever is Sendient's ingestion and retrieval engine as a product. It combines vector, keyword and graph retrieval so each answer draws on the right context for the person asking. Use it on your website through a WordPress plugin or web bot, across SharePoint, OneDrive and Google Docs, or inside your own processes.

The right context for each person, department, location and country, every time, with security and privacy built in.

How it works

Ingested, indexed, retrieved, and shaped to the person asking.

Documents are split into passages and indexed three ways. Vectors capture meaning, keywords catch exact terms, and a graph maps the connections. When someone asks a question, SmartRetriever layers what is known about the world, the company, their site or department, their team and them, so the answer fits the person asking.

Shaped by who is asking and what they can access. Every answer shows where it came from.
Every answer is shaped by layers of context. The same question means something different to a new starter on one site and a director at head office. SmartRetriever brings in every layer the person is entitled to, from the world down to them, however your organisation is structured, so the model reasons over the context that fits.Hover over or select a layer to see the answer change.
Same question, more context “What can I approve?”
  1. WorldApproval limits are normally set by an organisation’s delegation policy.
  2. CompanyCompany policy says spending over the company limit needs a second approver.
  3. Site or deptProcurement delegations let you approve orders with approved suppliers up to your band.
  4. TeamYour team sends anything for a new supplier to the category lead first.
  5. YouYou are covering a colleague’s queue this week, so their requests come to you too.
Answer · 1 layer of context A general answer is to check your organisation’s delegation policy.
Kept current, never stale
Re-indexed on changeWhen a document is edited, added or deleted, its passages update in minutes, not at the next batch run.
Expiry and ownersEach source has an owner and a review date. Content past its date is flagged, not quietly used.
Superseded versions retiredWhen a policy is replaced, the old version stops being used in answers.
Answers name the versionEvery citation shows which version of the document was used, and when it was last updated.
Why hybrid

Each method finds things the others miss.

Vector search alone misses exact codes. Keyword search alone misses different wording. Neither follows relationships. Combining all three finds more of what matters, and ranks it better.

Vector

Finds passages that mean the same thing, even when the words differ.

“Leaving notice” finds “termination period”.

Keyword

Finds exact terms, names, codes and numbers that meaning alone can miss.

“Clause 14.2” finds clause 14.2.

Graph

Follows links between people, documents, cases and systems.

“Contracts this supplier signed with us” finds all of them.
Where it connects

From a website plugin to the core of your business.

Start where it is simplest and grow from there. The same engine, the same permissions and the same audit trail apply at every level, so adding a source never means starting again.

Privacy and security, built in

Private and secure by design. Never used for training.

Personalised inference only works if people trust what goes in. So privacy and security shape every part of SmartRetriever, from how documents are stored to who can see each answer.

  • No training on your dataYour documents, questions and answers are never used to train any model, ours or anyone else's.
  • Access follows the userPeople only get answers from documents they are already allowed to open. Permissions come from your existing systems.
  • Encrypted and loggedData is encrypted in transit and at rest, you choose where it is processed, and every query and answer is logged.

Each answer is built only from what that person is allowed to open.
Explainable and auditable

Every answer shows its working.

Each answer comes with the exact passages it used, why each one was chosen, and a record of who asked, what was searched and which model answered. People can check an answer before they act on it, and you can show an auditor how it was reached, months later.
